How to Identify the Right Excavator Parts
A step-by-step method for using machine data, part numbers, nameplates and photos to reduce wrong-part risk before quotation.

The safest identification process combines the machine brand and full model, serial number, any readable part or casting number, a clear nameplate photo, the installation position and several photos of the old part. A model name alone is rarely enough because excavators of the same model can use different components by serial-number range or regional configuration.
Start with the complete machine identity
Record the brand, complete model designation and machine serial number exactly as shown on the identification plate. Do not shorten a model such as PC200-8 to PC200, because the dash number often identifies a different generation and parts configuration.
The serial number is especially useful when the same excavator model was produced with different engines, hydraulic pumps, controllers or travel systems. A readable photo of the machine plate is usually more reliable than information copied by hand.

Use every number visible on the old part
Look for a printed label, engraved number, casting number or supplier reference on the removed part. Photograph the number before cleaning or dismantling the component further. If several numbers appear, send all of them instead of choosing one.
A casting number may identify a housing rather than the complete assembly, while a printed OEM reference may identify the service part. The supplier should compare the number with the part type, machine data and physical appearance before confirming compatibility.

Photograph the complete part and its connections
Send one overall photo and additional views from the front, rear, sides and connection area. For electrical parts, show the plug shape, pin count and wire position. For hydraulic parts, show port layout, shaft, flange and nameplate. For seals or wear parts, include dimensions and installation position.
Place a ruler beside the component when size is not obvious, but do not rely on dimensions alone. Two parts can have similar dimensions and different internal specifications.

Confirm before shipment, not after arrival
A quotation should state the part description, reference number and key configuration notes. Before payment, compare the quotation with the information you sent. If the supplier asks for another photo or serial number, this is usually a sign that a configuration difference must be resolved.
For high-value assemblies, request a final product photo and label check before packing. This creates a simple evidence trail and helps both sides catch a mismatch while the part is still at the supplier.

Wrong-part prevention: the evidence hierarchy
Do not rely on a product photo or machine model alone. Use the strongest available evidence in this order and stop the quotation when two references conflict.
- Full part number and suffix: record every letter, dash and revision mark from the label or casting.
- Machine serial number: identify the production range because one model can use different components.
- Critical dimensions: compare mounting centres, shaft or thread sizes, flange patterns and overall size.
- Ports and connectors: count pins, identify connector keys, hose fittings, port positions and rotation direction.
- Photos from several angles: include the nameplate, front, rear, side, installed position and mating component.
- Operating context: confirm the failed system, required quantity and whether the removed part is original or previously replaced.
